Terms of Use

These terms describe the ground rules for using Certified Mail Envelopes services and the responsibilities that keep a mailing record reliable.

Acceptance of these terms

By accessing or using this site, CertifiedMailLabels.com, SendCertifiedMail.com, or any related service, you agree to these Terms of Use. If you do not agree, do not use the sites or submit an order. Certified Mail Envelopes, Inc. may update these terms as described below.

Our services

Depending on the option you select, we provide:

  • Online USPS Certified Mail label generation for customers who print and prepare their own mail.
  • Full-service print and mail, where we print documents, insert them, apply postage, and mail them on the customer’s behalf.
  • High-volume and bulk mailing workflows, including Excel or CSV uploads, API, and SFTP options where available.
  • Electronic delivery confirmation and electronic return receipt records.
  • A 10-year compliance archive for available mailing proofs, USPS acceptance scans, tracking, delivery confirmations, and signature records.

Customer responsibilities

You are responsible for the accuracy, completeness, and legality of the documents, messages, addresses, and mailing lists you submit. You represent that you hold the necessary rights, permissions, and licences to upload and reproduce the documents and data.

You are also responsible for complying with laws, regulations, court rules, notice requirements, privacy obligations, and postal requirements that apply to your mailing. Review addresses and documents carefully before authorising a mailing.

Postage and pricing

Postage rates, postal surcharges, delivery charges, and third-party fees are set by USPS or other providers and may change without notice. Prices shown or quoted may change when a provider changes its rates, when mailing details differ from the information submitted, or when additional services are selected.

USPS trademark notice

Certified Mail® is a trademark of the United States Postal Service. Certified Mail Envelopes, Inc. is an independent provider and is not the United States Postal Service. The USPS does not sponsor or endorse our services.

Notary and affidavit services

Where included with a mailing order, a state-licensed notary provides a notarised affidavit of printing and same-day mailing acceptance. That affidavit represents the notary’s verification of the described printing and acceptance event; it is a mailing record, not a guarantee of delivery, legal service, or the outcome of a dispute.

Intellectual property

The sites, software, text, graphics, logos, marks, layouts, and other content are owned by Certified Mail Envelopes, Inc. or its licensors and are protected by applicable law. We grant you a limited, non-exclusive, non-transferable right to use the sites for their intended business purpose. You may not copy, scrape, frame, resell, modify, reverse engineer, distribute, or use our content or marks without written permission, except as allowed by law.

No legal advice

The sites provide mailing, tracking, documentation, and archive services. They do not provide legal, tax, regulatory, postal, or compliance advice. Consult qualified counsel about the requirements for your specific notice or mailing.

Third-party links and services

The sites may link to or rely on USPS, delivery partners, payment providers, hosting providers, analytics providers, and other third parties. Their services and terms are controlled by those providers. We are not responsible for third-party content, availability, policies, or actions.

Use of Artificial Intelligence

Certified Mail Envelopes, Inc. uses artificial intelligence and automated systems to provide, route, and assist customer support across chat, email, and telephone channels, and to conduct outbound account verification.

When you contact us, or when we contact you for account verification, you may be interacting with an AI-enabled or automated system rather than a human representative.

Support and verification interactions may be recorded, monitored, transcribed, summarized, analyzed, or reviewed for service quality, training, security, fraud prevention, and recordkeeping purposes, subject to applicable law and our Privacy Policy.

Preferred way to reach a person: if you do not wish to speak with an AI agent, you may ask for a live representative at any time during a support interaction. Live representatives are available during business hours, Monday through Friday, 9:00 AM to 6:00 PM Eastern.

Our use of artificial intelligence does not change our obligations concerning personal information, which are governed by our Privacy Policy.

AI-assisted output supports our team and does not replace our obligations under these terms or applicable law.

Outbound Account Verification and Your Consent (Opt-In)

By creating or joining an account and providing a telephone number, you opt in and consent to receive outbound account-verification calls and text messages at that number, including calls or messages placed or assisted by an automated or AI-enabled system.

This consent covers account verification only. It is separate from, and does not constitute consent to, marketing or promotional calls or messages.

You represent that the telephone number you provide is your own, or that you are authorized to give consent for it, and that you will keep it current.

How to withdraw consent:

  • Reply STOP to an account-verification text message;
  • Tell the representative during an account-verification call that you want to opt out;
  • Update your telephone number or communication preferences in your account settings, if that option is available; or
  • Complete a support request ticket from inside your account.

Withdrawing consent may affect our ability to verify your account and may limit or prevent access to services that depend on account verification.

Message frequency varies. Message and data rates may apply.

Consent is not a condition of purchasing goods or services beyond what is reasonably required for account verification.

You may also manage or block calls and messages through your carrier or device settings.

Disclaimers and limitation of liability

To the fullest extent permitted by law, the sites and services are provided on an “as available” and “as is” basis. We disclaim warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, title, non-infringement, uninterrupted operation, and error-free or timely delivery. USPS and other delivery events are outside our control.

To the fullest extent permitted by law, Certified Mail Envelopes, Inc. and its officers, employees, contractors, and providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, data, business, or goodwill, arising from use of the sites or services. Our aggregate liability for a claim will not exceed the amount paid for the service giving rise to the claim, except where law does not permit that limitation.

Indemnification, governing law, and venue

You agree to defend, indemnify, and hold harmless Certified Mail Envelopes, Inc. and its personnel and providers from claims, losses, liabilities, costs, and expenses arising from your documents, mailing lists, instructions, misuse of the services, or violation of these terms or applicable law. These terms are governed by the laws of the State of Florida, USA, without regard to conflict-of-law rules. Courts located in Florida will have exclusive venue unless applicable law requires otherwise.

Changes and severability

We may change these terms by posting an updated version on the sites. The effective date identifies the current version. If a provision is found unenforceable, it will be modified to the minimum extent needed, and the remaining provisions will remain in effect.

These terms are general, were prepared as a starting draft, and should be reviewed by the company’s legal counsel before being relied upon.
